Making the most of Microsoft
Microsoft 365 has become a utility. Almost every organisation we speak to has it, and most have had it for years. What varies enormously is how well it was set up, how much of it is being used and how much is being spent (or overspent) on it.
Microsoft used to hand you software on a licence key and leave you to deploy it, with a meaningful upgrade every three years or so. Now they write it, host it and improve it continuously. New capability lands monthly. That is a real advantage for businesses, but only if someone is keeping track of what’s new, what you are entitled to and what would be worth switching on.
Common challenges with M365
M365 works fine out of the box, but under the bonnet it might not be delivering on its potential. A functional deployment looks fine from the outside while data classification, data loss prevention and access controls sit switched off in the background.
Then there is sprawl. Teams was rolled out at pace, a team was created for every project and every passing conversation, and each one spins up a supporting structure in SharePoint that does not disappear when the team is deleted. Files end up in places nobody remembers creating and permissions go unreviewed for years.
And there is licensing. Business Standard gives you the apps and little else: no Intune, no Defender for Business, no Entra ID P1 for conditional access. Plenty of organisations are trying to deliver secure, flexible working with the wrong set of licences, while paying elsewhere for licences nobody uses.
